    Deleteing Details

    Dear Proptrack team,

    Whilst learning the software I have "created" clients and accounts to familiarise myself. I now wish to git rid of these ficticious clients and payments, but I find it incredibly hard to do so.

     I feel that this will be a very necessary process, as we will inevitably make mistakes while inputting data and I do not want to simply re-mname every client as 'test'

    Hi Paul,

    It is not possible to 'delete' items out of the system, as these may be linked to other areas in the software.  There is a feature request that is pending relating to this, which needs to be discussed in detail and added where possible to the poptrack software development version release, however this needs careful consideration on how this will operate.  It may be something that only the administrator account for the person that setup the software is able to do, or allow other administrators to do, but this has not been defined yet.

    It is possible to 'archive' contacts to no longer have them as active in the software, you can also modify the data that you created calling it TEST or DEMO to ensure that is is easily identifiable in the future incase it comes up in advanced searches.  To archive contacts, select the contacts that you wish to archive and scroll to the bottom of the screen and select the option 'Archive' and then click on the blue arrow to confirm this.

    To archive properties, you need to make the property 'unavailable/offline'.  If you enter the words TEST or DEMO in the reference number this will prevent it being used in searches.  You could also create a DEMO staff member or TRAINING and allocate these properties and contacts to them, this will allow you to train users in your office in the software and play with the test data, but make sure it is archived or offline to prevent it interering with your live data.

    If you wish to remove costings for rentals, you will need to cancel and remove all bookings for a rental property that are associated with that costing, before you can delete the costing.  again, you are able to make rental propertes unavailable/offline to prevent them showing up in your list.

    With regards to the subject of archiving a contact, is it possoble to relocate that contact in the future should the contact become "live" again?
